A plan for Nayif · Squints Optical · October 2026

Less admin.A busier optometrist.

  • To you · on your phoneLab order ready to checkFilled in from the order. Check and submit.

  • To the customer · text“Your glasses are ready”Sent the day the order arrives.

  • Made-up examples. Yours arrive on your phone (Telegram or text): tap to approve. The same list sits on a dashboard at the desk.
Estimate

+9–17

extra eye exams a month

from recall, Google, online booking and email

How we got this
  • Due patients invited by email and text: +5 to +9 a month. Published reminder and recall studies (Cochrane) applied to the ~750 patients who fall due each year
  • A complete Google profile, steady reviews and online booking: +2 to +5 new patients a month (the least certain number)
  • Monthly emails to your list: +2 to +3 exams a month (about half of the 4 to 6 extra visits each send brings in)
  • Only counts if the optometrist has open slots
Estimate

$1,600–4,100

a month in eyewear sales

revenue to the store, not profit

How we got this
  • Each extra exam is worth about $175 to $240 to the store in glasses and contacts
  • 50 to 60 in 100 exam patients buy eyewear, at about $350 to $400 a pair (VisionWatch Canada: about $376)
  • 7 extra exams × $175, up to 14 × $240. The optometrist keeps the exam fee, so it isn't counted
Estimate

4–7

hours a week

of admin off you and your staff

How we got this
  • Lab orders no longer typed again into the lab's website: 2 to 4 h (15 orders a week at 8 to 15 min each)
  • Text reminders no longer sent by hand: 1 to 2 h (we time it with you)
  • One morning brief instead of checking each tool: about 1 h (10 min a day)
  • Payroll hours summary: 15 to 30 min (30 to 60 min every two weeks)
Estimate

600–900

people you can email on day one

and a list that keeps growing

How we got this
  • Canada's anti-spam law (CASL) lets you email anyone who bought or had an exam in the last 2 years
  • About 1,500 patients, about 7 in 10 with an email, about 6 in 10 of those seen in the last 2 years
  • A tick box on the intake form keeps the list from expiring

Every number here is an estimate. They assume about 1,500 active patients, open exam slots, how often an exam leads to a sale and your average sale. We swap each one for your real numbers after a short second visit. Sources and assumptions

What we set up

Six things that pay for themselves

Each one either takes a job off your plate or brings people through the door.

01

A busier optometrist, more glasses sold

Patients who are due get an email and a text with real open times. Reminders go out by themselves, and a cancellation gets filled. Most glasses and contact sales start with an exam.

+5–9 exams a month1–2 h a week saved

Estimates: how we got these

About 750 patients fall due each year. Published studies show reminders and recall lift visits by 14 to 28 in 100. Reminder time: what you spend sending them by hand today, to be timed with you.

How it works
02

Get found & booked

A new phone-first website and a complete Google profile, where people book an eye exam in a few taps. Plus a steady flow of new reviews.

+2–5 new patients a month~12 reviews a month

Estimates: how we got these

58 in 100 patients start their search on Google, and most won't pick a business with under 20 reviews (BrightLocal, PatientPop). Checked against your Google profile's own numbers after 90 days. Reviews: 15 pickups a week and 1 in 5 leaves one.

How it works
03

Email that sells

The patients you can already email, a tick box on the intake form for new ones, a few good-looking emails that bring people back, and a clear count of who booked or bought.

600–900 on the list day one4–6 visits a month, extra

Estimates: how we got these

CASL's 2-year rule applied to about 1,500 patients. One email a month to about 700 people, and about 1 in 100 books or buys. Not added to the exam total above, so nothing is counted twice.

How it works
04

Less typing

Lab and stock lens orders are filled in for you from the order. You and your staff check and press submit. Customers get a text the day their glasses arrive.

2–4 h a week savedFewer “are they ready?” calls

Estimate: how we got this

15 orders a week, each with 8 to 15 minutes of typing into the lab's website today.

How it works
05

Insurance made easier

We fill in the TELUS claim for you from the sale. You or your staff tap submit. Every claim is tracked until it's paid.

Why there's no number yet

How many customers ask for direct billing is on our question list. You register the store on the TELUS and GreenShield portals first (free, in your name).

The numbers

Where each estimate comes from

Every figure is an estimate, built from published research and a few assumptions about your store. The money figures are revenue, not profit.

+9 to +17

extra eye exams a month

  • Recall, +5 to +9: about 750 patients fall due each year and about half come back on their own. Reminders and recall lift that by 14 to 28 in 100 (Cochrane reviews).
  • Google profile, reviews and online booking, +2 to +5: 58 in 100 patients start on Google, 68 in 100 only use a business rated 4 stars or more, and 47 in 100 skip one with under 20 reviews. No study measures this for optometry, so this is the least certain number.
  • Email to your list, +2 to +3: one email a month to about 700 people; about 1 in 100 books or buys (Klaviyo 2026), so 4 to 6 extra visits a month, and we count about half of those as exams. The rest are glasses or contact lens visits, not counted here.

$1,600–4,100

a month in eyewear sales

  • The optometrist keeps the exam fee, so the store earns from eyewear.
  • 50 to 60 in 100 exam patients buy glasses or contacts where they had the exam.
  • An average pair in Canada is about $376 (frames $169 + lenses $207). With your designer frames we use $350 to $400.
  • So each extra exam is worth about $175 to $240. 9 × $175 ≈ $1,600; 17 × $240 ≈ $4,100. Glasses-only visits from email would add to this; we leave them out to stay conservative.

4–7 h

a week of admin back

  • Lab orders: 2 to 4 h (15 orders a week at 8 to 15 min of typing into the lab's website)
  • Reminders sent by hand: 1 to 2 h (to time with you)
  • Morning brief: about 1 h (10 min a day)
  • Payroll summary: 15 to 30 min

Our estimates from your October 7 walkthrough. We time each one with you.

600–900

people you can email on day one

  • CASL allows email to anyone who bought or had an exam in the last 2 years (s. 10(10)(a)). A new purchase restarts the clock.
  • About 1,500 patients × 7 in 10 with an email × 6 in 10 seen in 2 years.
  • A tick box on the intake form gives consent that doesn't expire, so the list keeps growing.

Source: Canada's Anti-Spam Legislation

Assumptions to confirm with you

  • About 1,500 active patients (seen in the last 3 years). Double it and the exam and list numbers double.
  • Free exam slots. Extra exams only count if the optometrist has room.
  • Capture rate: 50 to 60 in 100 exam patients buy eyewear from you.
  • Average eyewear sale: $350 to $400.
  • Time spent today on reminders and lab orders.

What we build

A fast, phone-first site for Squints: book an eye exam online, the frames and brands you carry (Ray-Ban, Prada, Coach, Michael Kors, Balenciaga, Montblanc, Givenchy and 150+ kids' frames), insurance and OHIP exam info, your Google reviews and hours. Built to show up when people nearby search for an optometrist or an eye exam. Plus a complete Google Business Profile with a booking button, photos and hours, and a review request after each pickup.

What we need from you

  • Access to your Google Business Profile (or we help you claim it)
  • Photos of the store and frames, your logo
  • Your call on a domain name (any purchase is yours to approve)
Money made (estimate)
+2 to +5 new-patient exams a monthReached after 3 to 6 months as reviews build. The least certain number in the plan: no study measures it for optometry, so we check it against your Google profile's own numbers after 90 days.

What we build

Day one, the list starts from the patients you can already email: CASL allows it for anyone who bought or had an exam in the last 2 years, and we store that date. From then on, a tick box on the intake form (“Yes, email me eye-care reminders and offers”) gives consent that doesn't expire. We record who agreed, when and how.

What we build

One or two emails a month that bring people back at the right moment:

  • Benefits renewal: “your plan likely covers new glasses again” (Canadians buy glasses about every 24 months)
  • New arrivals: new designer and kids' frames
  • Contact-lens reorder: before they run out, so they don't buy online
  • Seasonal sunglasses: spring and summer

  • Your OK on any sending-service cost before it starts
Money made (estimate)

  4. PatientRepliesConfirmsReschedules from real open times
  5. AgentA cancellation?goes straight to the fill-the-gap list (06)

What we build

Today text reminders are sent out by hand and there are no email reminders. We first look at your smsreminder setup with you; if it can send on its own, we switch that on. Either way, our reminder agent adds the email reminder and the confirm-or-reschedule replies, and shares one number with the recall engine.

What we need from you

  • 10 minutes to show us how you send reminders today
  • How bookings are written in the calendar (name, phone, visit type)

  4. AgentRemindersemail and text before the visit
  5. OptometristEye exam
  6. StaffGlasses orderfilled in for you (08)
  7. Agent“Glasses ready” textto the customer

What we build

An agent that knows who is due for an eye exam and invites them by email and text, with real open times. The biggest money piece in the plan: the optometrist keeps the exam fee, but most glasses and contact sales start with an exam.

  • Kids 19 and under: OHIP covers an exam every year
  • Seniors 65+: OHIP covers one every 18 months (yearly with an eligible condition)
  • Adults 20 to 64 with diabetes or glaucoma: OHIP-covered
  • Adults with benefits: due when their plan renews, often every 24 months

Also

An empty slot tomorrow? A short “we have a cancellation” text goes to people on the due list. Replies come back to the agent, which holds the slot; you approve with one tap.

What we need from you

  • A patient list export (name, phone, email, last exam date), if your medical software can do it. If not, we start from Wave customers and the calendar.
  • Exams a week now, how many the optometrist could do, and the emptiest days
  • A signed PHIPA agreement (see How it runs)
Exams (estimate)
+5 to +9 extra exams a monthAbout 1,500 active patients; about 750 fall due each year and about half come back on their own. Reminders and recall lift that by 14 to 28 in 100 (Cochrane CD007458, CD003941). Capped by the optometrist's open slots.

  3. You / staffCheck and tap submiton the TELUS or GreenShield portal
  4. InsurerDecidesPaid: loggedRejected: reason + next step
  5. AgentUnpaid after 2 weeks?flagged in your brief

What we build

Today customers pay and claim it themselves. Your question was “is there an API?” (a direct software connection). The honest answer: TELUS eClaims only connects to certified practice software. So we fill in the TELUS claim for you from the sale, and you or your staff tap submit on TELUS's provider portal. GreenShield has its own portal (providerConnect). Every claim is tracked until it's paid.

Simpler with optometry software

Optometry software with TELUS claims built in would send claims straight from the sale. That's part of the keep-or-switch decision (12).

What we need from you

What we build

Today the prescription and order are typed again by hand into the Lens Shapers or Centennial website. Neither lab offers a public connection, so the agent fills their order forms from the order the way a person would, and stops before submit. You and your staff check and submit.

What we need from you

  3. Optimize25Estimate the moveexport, 2 to 6 weeks of overlap, records kept
  4. YouDecideKeep itSwitch
  5. AgentsWork either waypointed at whichever you choose

What we build

A short, honest comparison. Switching to optometry software would make claims and lab orders simpler: some do OHIP billing, TELUS claims, recalls and lab ordering in one place. For example, Optosys (Canadian, cloud) lists all four, from about $179 a month per user. Others to compare include Acuitas 3 (Canadian edition with OHIP billing) and Got2 (TELUS claims module).

It's your decision. We don't sell software, and everything in this plan works with your current medical software too.

How it runs

In plain words

  • It runs on a computer in your store. The agents run on OpenClaw, software we set up on a store computer.
  • Patient data stays in your systems. Files stay in your medical software, Wave and Google Calendar.
  • Only the minimum goes to the AI. “Due: yes, reason: OHIP senior”, never clinical notes.
  • Nothing leaves the store without staff approval. You approve each message once before it's used, and every lab order, claim and campaign one by one.
  • Encrypted backups. If the computer fails, nothing is lost.

PHIPA first

Prescriptions, exam dates and insurance details are personal health information under Ontario's health-privacy law (PHIPA). The clinic or optometrist stays the custodian; we act as your agent under a written agreement, signed before we touch any patient data.

Your logins

Supplier, insurer and medical software logins stay with you and are shared safely, one at a time. Access is logged.

Consent on record

Every marketing email and text follows Canada's anti-spam law (CASL): consent stored, store name included, “Reply STOP” and unsubscribe honoured right away.

No clinical answers

The agents never give health advice. No message ever mentions a condition.

No surprise costs

Nothing is bought or signed up for without your OK. Portal registrations are free and in your name.
